Challenges

Manual Processes, Accuracy Issues & Staff Overload

Before adopting mosaic, FACE faced significant challenges around CE tracking and conference operations:

  • Manual Code Entry: Attendees received session codes and wrote them on paper forms. This resulted in over 300 paper forms, frequent code sharing, and ultimately inaccurate CE records.
  • Inefficient Sign-In Sheets: To improve accuracy, FACE introduced sign-in sheets. While more reliable, they disrupted sessions and still required manual entry—taking up to two weeks post-event.
  • Attendee Confusion: Despite creating an iMIS RiSE page listing each attendee’s itinerary for their reference, many attendees arrived unsure of their schedules, creating long lines at the registration desk.
  • Budget Constraints: The team had long considered mosaic™ but delayed implementation due to cost constraints.
  • Disjointed Workflow: Even though iMIS was the primary system of record, syncing CE data required bulk uploads after the event, creating operational bottlenecks.

Solution: A Streamlined Digital Experience with mosaic 365™

FACE implemented mosaic 365™, focusing on CE tracking, check-in, and improving the attendee experience.

Key Features That Solved Their Pain Points:

Impact: Time Savings, Accuracy, and Attendee Satisfaction

1. 330+ Attendees Checked Out in Under 5 Minutes

A board member timed the check-out process—a dramatic improvement from paper queues.

2. CE Issuance Time Reduced by 80%

  • Before mosaic: 5-10 business days (team effort)
  • With mosaic: 2 business days (managed by one person)

3. Real-Time iMIS CE Sync

CE data review began minutes after sessions ended, allowing real-time review and troubleshooting.

4. Fewer Attendee Questions

A cleaner UI and clear documentation made navigation and participation more intuitive.

Surprising Engagement with Social Features

Initially unsure whether to enable mosaic’s networking tools, FACE was impressed by their member engagement:

“They loved it… I almost didn’t turn on the social features. But it became one of the most used parts of the app.”

Staff Workflow Streamlined

With automation replacing manual entry and post-event syncing, FACE’s internal processes became more efficient and manageable.

Advice from FACE to Other Associations

  • For iMIS EMS Users
Involve someone familiar with iMIS or your AISP to handle technical integration. Plan for additional 3rd party setup costs like Google and Apple app developer accounts and API licenses.
  • Hardware & Setup
FACE recommends 8” Samsung Galaxy tablets for on-site check-in—cost-effective and powerful.
  • Training & Documentation
Build your own branded app user guides. It drastically reduces attendee confusion.
  • Plan for Integration Testing
Allocate time for sync and API testing—don’t wait until the last minute.
  • Let Members Guide the Experience
Turn on all the features—alerts, social walls, networking—and let attendee behavior shape future app decisions.

“Mosaic made everything about our most recent conference so easy to manage—it was the best conference that this organization has ever done.”
